Information we collect and why
When you enquire about or book a journey, we collect the details you supply, such as your name, telephone number, email address, pickup and destination, journey date and time, passenger numbers, luggage, flight details, return arrangements and correspondence. We use these details to answer your enquiry, provide a quote and arrange the journey. Required contact and journey information is needed to respond to your request.
We process enquiries and bookings to take steps at your request before a contract, or to perform our contract with you. Where someone books on another person’s behalf, our legitimate interest is arranging the requested transport. Please make sure you are authorised to share another passenger’s details.
Our website stores booking enquiries privately in the WordPress database and emails a notification to the business. Calls are not recorded. Journeys are not tracked. Please do not submit medical histories, diagnoses, passwords or payment card details through our forms. Practical assistance requirements can be discussed directly.
Customer feedback
Feedback may include a display name, comments, optional rating, optional private email address and permission to publish. We review feedback to respond to comments and improve the service, based on our legitimate interest in running the business. We publish your display name, rating and comments only with your consent and after approval. Your email address is not published.
You can withdraw publication consent by emailing or calling us. Withdrawal does not affect processing that took place before withdrawal. Private feedback is kept for no more than 30 days. Feedback submitted with publication consent remains until that consent is withdrawn.
Payments and accounting
Card payments are processed by SumUp. SumUp handles payment information under its own privacy notice. We keep the transaction and accounting records needed to record payments, manage the business and meet tax obligations; our lawful basis for required tax records is legal obligation.
Accounting records are retained in accordance with HMRC requirements. For self-employed Self Assessment records this is normally at least five years after the 31 January submission deadline for the relevant tax year. Longer retention may be required for late returns, enquiries, other tax obligations or legal matters. These records are separate from routine booking details.
How long booking information is kept
- Booking enquiries that do not result in a booking are kept for 30 days.
- For confirmed bookings, addresses and journey details are retained until 30 days after the journey is completed. Advance bookings remain available until the journey and this retention period have ended.
- Relevant information may be retained longer where necessary for an outstanding complaint, insurance claim, legal matter or applicable record-keeping obligation.
Customer addresses are retained as ongoing journey records only for confirmed bookings. Pickup and destination details provided in an unconfirmed enquiry are handled within the 30-day enquiry period. We do not use your details to send promotional messages.
Vehicle dashcam
A Nextbase road-facing dashcam may be used in the vehicle. It records road-facing video only. Audio recording is switched off, and the camera does not provide an inward-facing video view of passengers. No separate CCTV system is used.
Road-facing video is used to establish what happened during an incident and to support insurance claims or legal matters. We rely on our legitimate interests in handling incidents and establishing, exercising or defending legal claims, subject to the rights and interests of those recorded. Recordings are accessed only when needed for an insurance claim or legal matter, including reporting an alleged offence to the police. Access or disclosure may also be necessary to comply with a legal obligation.
Routine footage is recorded on a 64 GB memory card and is automatically overwritten as the card fills. The overwrite interval depends on the model, settings and recording activity rather than a fixed number of days. Footage relevant to an incident may be preserved for as long as necessary to resolve the insurance or legal matter and any applicable retention obligation. It may be shared with insurers, legal advisers, police or other authorities where necessary and lawful.
Website hosting and security
Our domain and website hosting are provided by UK2. Hosting and technical services process information needed to operate the website, which may include network addresses, device information and server logs. We use this information for our legitimate interest in maintaining a secure, working website.
The enquiry and feedback forms use a temporary hashed network-address identifier to limit repeated submissions. It expires after ten minutes of inactivity. Access to enquiry and feedback administration is restricted to authorised website administrators.
Cookies and website analytics
Dave’s Taxis does not currently use Google Analytics or other optional website analytics tools. The website may use essential cookies or similar technologies needed for its operation and security.
If we introduce optional analytics or non-essential tracking, we will update this privacy policy and provide appropriate consent controls where required before enabling them.
Fare calculator
Fare calculations run in your browser. Selecting Request this journey carries the pickup date, time, mileage and waiting time into the booking form. These are sent as booking details only when you submit that form. Navigation requests may appear in hosting logs. The calculator does not make an automated decision about accepting a booking: Dave’s Taxis confirms availability and the final quote.
Who receives your information
Information may be processed by UK2 and the email and technical services used to operate our website, and by SumUp for card payments. Necessary records may be provided to accounting advisers, HMRC, insurers, legal advisers or authorities for the relevant purpose. Published feedback is visible to website visitors. We do not sell customer information or use it for promotional messaging.
Some providers may process information outside the UK. Applicable transfers must use a recognised UK transfer arrangement, such as an adequacy decision or appropriate contractual safeguards. Contact us for information about the providers and arrangements relevant to your data. The providers’ own privacy notices also describe their processing.
Your rights
Depending on the circumstances, you can request access to your information, correction, deletion, restriction of processing or a portable copy, and object to processing based on legitimate interests. You can withdraw consent where consent is used. These rights are subject to applicable conditions; for example, tax records may need to be retained despite a deletion request.
To make a privacy request, email taxi@akabs.co.uk or telephone 07510 492010. We may need to verify your identity and will normally respond within one month, with any lawful extension explained to you.
You can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or telephone 0303 123 1113. You can contact us first to discuss a concern, but you do not have to do so before contacting the ICO.
Changes to this policy
We will update this policy when our service or data-handling arrangements change. The date at the top identifies the latest version.
How customers find us
The enquiry form optionally asks how you heard about Dave’s Taxis. We use this answer to understand which publicity brings enquiries, based on our legitimate interest in improving our business. It is included in your enquiry record and notification email and a separate CUSTOMER SOURCES email containing the source and enquiry reference, and follows the same retention arrangements. We also keep anonymous monthly totals by source for the current month and previous 11 months. These totals contain no names, contact details, journey details or links to individual enquiries. This question does not subscribe you to marketing.
